Edit a Customer Credit Note
You can edit a credit note but what changes you can make all depends on its status:
- When a credit note has the draft or awaiting approval status, you can edit any field.
- In awaiting payment with no allocation and refund, you can edit any field in the credit note.
- When a credit note has the paid or partially paid status, you can edit only limited fields i.e. Contact, Credit Note #, Reference, Description, Account and Tracking fields. If you want to edit other fields then you have to remove the linking of the credit note from the invoice.
You must have either the adviser, standard, invoice only + approve & pay, or invoice only + sales only user role.
Edit a Draft or Awaiting Approval Credit Note
- Find and open the credit note from the draft or awaiting approval tab. If you know the contact’s name or the credit note amount then you can find it easily through the search option.
- Update the changes as needed.
- Click on the:
- Receipt Upload button if you want to add a receipt to the credit note.
- Save as Draft button if you want to save the credit note as a draft.
- Approve button if you want to save the credit note as Awaiting Payment.
Edit an Awaiting Payment Credit Note
- In the Account menu, select Sales (Accounts >> Sales).
- Either select the Draft tab or Awaiting Approval tab
- Find and open the credit note from the draft or awaiting approval tab. If you know the contact’s name or the credit note amount then you can find it easily through the search option.
- Click on the Credit Notes Options button and then select the Edit option. If a credit note is partially allocated or refunded then you have to remove the linking of the credit note from the invoice to edit other fields.
- Update the changes as needed.
- Click either:
- Receipt Upload button if you want to add a receipt to the credit note.
- Update button to update the credit note.
Edit a Paid Credit Note
- In the Account menu, select Sales (Accounts >> Sales).
- Either select the Paid tab or Partially Paid tab.
- Find and open the paid credit note. If you know the contact’s name or the credit note amount then you can find it easily through the search option.
- Click on the Credit Notes Options button and then select the Edit option. If a credit note is partially allocated or refunded then you have to remove the linking of the credit note from the invoice to edit other fields.
- Update the changes as needed.
- Click either:
- Receipt Upload button if you want to add a receipt to the credit note.
- Update button to update the credit note.
