Delete or Void Bills

  1. You can only delete the bills that have the draft status or awaiting approval status. 
  1. If a bill has awaiting payment status or paid status then you can void it. 
  1. In Clickentry, you can only see the voided bills not deleted. Voided bills are listed in some of your reports

Delete a Draft or Awaiting Approval Bill 

You can delete or void a bill but all depends on the user role you have. 

  1. In the Account menu, select Purchases (Accounts >> Purchases)
  1. Select Draft or Awaiting Approval status tab under Bill section.  
  1. Find and open the bill you want to delete. If you know the name of the contact or amount of the bill then using search you can easily find the bill. 
  1. Click on the Bill Options dropdown button, then select the Delete option. 
  1. Click Ok to confirm. 

If you want to delete multiple drafts or awaiting approval bills then select the checkbox next to the bills you want to remove and click on the Delete button at the top left side.

Void an Awaiting Payment, Partial Paid or Paid Bill 

Clickentry does not allow you to void the Awaiting Payment, Partial Paid or Paid Bills in bulk. You can void these bills individually.  

  1. In the Account menu, select Purchases (Accounts >> Purchases)
  1. Select Awaiting Payment, Partial Paid or Paid status tab under Bill section. 
  1. Find and open the Bill you want to void. If you know the name of the contact or the amount of the bill then using search you can find this easily. 
  1. You can reuse the bill number on a new bill but for this, you have to change the number before voiding the bill. 
  1. Before voiding any bills need to remove any payments, credit notes, prepayments and overpayments: 
    • Remove a payment(Link Remove Payment
    • Delete credit allocation(Link Remove a supplier Debit note allocation
    • Void a prepayment 
    • Void an overpayment (Link) 

Remove a Supplier Debit Note Allocation 

  1. To remove a credit allocation directly from a debit note you need to click the remove icon (x). 
  1. You must have the role of either the Standard, Adviser, Invoice Only – Approve & Pay, or Invoice Only – Purchases Only to remove the allocation.   
    • In the Account menu, select Purchases (Accounts >> Purchases). 
    • Select Partial Paid or Paid status tab under Bill section. 
    • Find and open the bill or debit note for which you want to remove the credit allocation. Using search you can easily find the debit note or bills. 
    • Next to the allocated amount, click on the remove icon (x).  
    • Click Ok to confirm. 
    • When you remove the allocation amount then your debit note and the bill will move back to the awaiting payment status or partially paid status.
