Apply an Overpayment to a Bill

  1. If you have overpaid any of your suppliers then you can apply the overpayment to the existing bill or a new bill for the same contact. 
  1. When creating a new bill, use the same contact name on the bill as the overpayment. This way you can apply the credit easily. 
  1. You must have the user role of either the adviser or standard to apply an overpayment to a bill. 

Apply the Overpayment to a New Bill 

If there is any outstanding credit from an overpayment for a contact, Clickentry prompts you to allocate the credit next time you approve a bill for that contact. 

  1. Create a New Bill(Link Create a New Bill)
  1. Clicking on approve a bill will prompt you to allocate an outstanding window. Click Allocate
  1. Just enter the amount, either less than or equal to the full amount of the credit of the overpayment you want to apply to that bill. 
  1. Click Allocate Debit. 

Apply the Overpayment to an Existing Bill 

  1. In the Account menu, select Purchases (Accounts >> Purchases)
  1. Select the Awaiting Payment or Partial Paid status tab. 
  1. Find and open the bill you want to apply the overpayment to. 
  1. Click on the Credit this Bill link just above the Make a Payment section. 
  1. Just enter the amount, either less than or equal to the full amount of the credit of the overpayment you want to apply to that bill. 
  1. Click Allocate Debit. 

Troubleshooting 

If you are not been able to see the Credit this Bill option in the bills, please check the following: 

  1. Make sure the contact name used for both the overpayment and bills are the same. 
    • If you find the contacts different, then edit the overpayment or bills so that they all use the same contact. 
    • If you find the contact records duplicate then merge or archive them. 
  1. If you are using multi-currency then make sure the bill and the overpayment are in the same currency.
