Record and Reconcile an Overpayment
It may be possible that your customer paid you too much by mistake or you may accidentally overpay your supplier. In both cases, you can create an overpayment.
During Bank Reconciliation
An Overpaid Bill or Invoice
Reconcile and record the payment for the amount that’s exceeding the amount of the bill or invoice you have sent to your customer. You need to create a Spend Money or Receive Money transaction for any additional payment.
- Click on the Manage Account link corresponding to the bank account and select the Reconcile Account.
- Click on the Find & Match link.
- Find the overpaid invoice or bill and then select the transaction.
- Click on the New Transaction, then select the Spend Money or Receive Money option, depending on the bank statement line whether it’s a withdrawal or deposit.
- Next to the Receive as or Spent as, select the Overpayment option after clicking on the Direct Payment arrow.
- Enter the amount that has been overpaid. Here you can not change in the Account and Tax field.
- Click on the Save Transaction button and then click Reconcile.
A Bill or Invoice Paid Twice
If you have paid twice against a bill or invoice in error, reconcile the first payment with the bill or invoice entered in Clickentry, and then need to create an overpayment transaction for the duplicate payment. Follow the steps:
- The first step is to reconcile the first payment(Link) with the invoice or bill.
- Under the Create tab corresponding to the statement line, click on the Add Details link.
- Next to the Receive as or Spent as, select the Overpayment option after clicking on the Direct Payment arrow.
- Enter the amount that has been overpaid. Here you can not change in the Account and Tax field.
- Click on the Save Transaction button and then click Reconcile.
Directly on the Bill or Invoice
If you have applied a payment to the bill or an invoice for an amount that’s greater than the amount due then you can create an overpayment.
Clickentry allows you to record an overpayment in different currencies but you must have a Clickentry bank account set up(link) for each currency.
Payment is in the Same Currency as the Bill or Invoice
- In the Accounts menu, select Sales or Purchases.
- Select the All status tab then find and open the overpaid bill or invoice.
- Scroll down to Make a Payment or Receive a Payment section.
- Enter the amount you paid or received and other required details in the payment fields.
- Click on the Add Payment button.
- Enter the description regarding the overpayment you made.
- Click Ok.
- Open the bank statement lines and reconcile it using Find & Match.
Payment is in the Different Currency to the Bill or Invoice
- In the Accounts menu, select Sales or Purchases.
- Select the All status tab then find and open the overpaid bill or invoice.
- Scroll down to Make a Payment or Receive a Payment section.
- Calculate the payment made into the currency of the bill or invoice manually.
- Enter the calculated amount you paid or received and other required details in the payment fields.
- In the Paid From or Paid To field, select the foreign currency bank account.
- Click on the Add Payment button.
- Enter the description regarding the overpayment you made.
- Click Ok.
- Open the bank statement lines and reconcile it using Find & Match.
